Privacy Notice
Summary. This notice explains what personal information the Newark Common App collects when you apply for a school placement, how we may use and share it, and the choices you have. We collect your name, email address, phone number, and application details; we, or one of our affiliated entities identified below, may ask your permission to contact you afterward for optional surveys or outreach; we do not sell your information; and you can always contact us to access, correct, delete, or stop receiving communications about your information. The sections below provide the full details.
Scope of This Notice. This notice describes the personal information practices of Newark Common App LLC (“NCA”) in connection with the Newark Common App website and application, and the practices of the New Jersey Children’s Foundation (“NJCF”), operating as My Schools Newark, to the extent NJCF receives and uses information originally collected by NCA. This notice does not cover information collected by any other website, product, or service.
What We Collect. When you submit an application through the Newark Common App, we collect certain personal information about you and your child, including your name, email address, phone number, the schools you have selected, and your application status. We do not collect Social Security numbers, financial account information, or health, disability, or immigration status information through the application unless we expressly notify you otherwise.
Who We Are. The Newark Common App is operated by Newark Common App LLC (“NCA”), a wholly-owned subsidiary of the New Jersey Children’s Foundation (“NJCF”). NJCF also operates under the name My Schools Newark. Although NCA and NJCF are affiliated, they are separate legal entities, and this notice describes how each may use your information.
How We Use Your Information. We use the personal information you provide for the following purposes:
- Application Processing. To process, manage, and communicate with you about your child’s school application through the Newark Common App.
- Surveys and Feedback. To contact you, if you consent, to invite you to participate in voluntary surveys about your enrollment experience. Survey participation is always optional, and you may decline without any effect on your application.
- Programmatic Outreach and Community Engagement. To conduct outreach and community engagement activities related to NJCF’s educational mission, including population analysis and reporting using de-identified or aggregated data that cannot be used to identify you individually.
How We Share Your Information. NCA may share your personal information with NJCF (operating as My Schools Newark) for the purposes described above. Depending on how we administer a survey, we may also share limited information with a service provider that helps us send survey invitations, collect responses, or fulfill incentive gift cards; any such service provider is contractually required to use your information only for the purpose we specify and to maintain appropriate security safeguards, and is not permitted to use your information for its own purposes. We do not otherwise share your personal information with any third party. NCA and NJCF will not sell, license, or rent your personal information to any unaffiliated third party for monetary or other valuable consideration, and we do not use your personal information for targeted advertising. We will not use your personal information for fundraising solicitation directed to you individually without your separate consent, and any sharing of your information for a purpose beyond what is described in this notice will be made available to you only on an opt-in basis, meaning we will ask for your affirmative agreement before doing so.
How We Protect Your Information. We maintain reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, or loss. Access to your information is limited to personnel who need it to carry out the purposes described in this notice. No method of storage or transmission is completely secure, and we cannot guarantee the absolute security of your information.
How Long We Keep Your Information. We retain your personal information for as long as reasonably necessary to process your application and, where you have consented to further contact, to administer surveys or outreach and to comply with our legal and recordkeeping obligations. Because your application information is linked to your child’s school enrollment record, we may retain that information indefinitely as part of the enrollment record even after a request to stop contacting you. Information that is not part of the enrollment record, such as survey responses or your contact preferences, will be deleted or de-identified when we no longer need it in accordance with our data retention practices.
Your Rights. You may contact us at any time to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate personal information.
- Request that we stop contacting you for surveys or other outreach beyond application processing.
- Request deletion of personal information that is not part of your child’s active application or enrollment record. Because certain information is retained as part of the school enrollment record, we may not be able to fully delete all data associated with your application, but we will honor deletion requests to the extent operationally feasible and will always honor a request not to be contacted further.

Children’s Information. The Newark Common App website and application are directed to parents and guardians, not to children. The Newark Common App collects information provided by parents and guardians on behalf of their children, and we do not knowingly collect personal information directly from children under the age of 13. If you believe we have inadvertently collected information from a child under 13 without appropriate parental consent, please contact us immediately at the address below so we can address the situation.
Changes to This Notice. We may update this privacy notice from time to time to reflect changes in our practices or applicable law. If we make material changes to how we use your personal information, we will notify you by posting the updated notice on the Newark Common App website, updating the effective date below, and, where practicable, by email. If we intend to use your personal information in a materially different way than described in the notice in effect when we collected it, we will seek your affirmative consent before doing so. We will retain prior versions of this notice and make them available upon request.
